Terms and Conditions KP19

KP accept all kinds of artworks for the assessment

Submissions for KP can be made by all artists whatever their nationality, place of residence and age. Individuals as well as groups are invited to submit works.

Application period

Application must be made online February 1st – 26th, 2019.
DEADLINE FEBRUARY 26th at midnight (24:00)
 

How many works can I submit?

Up to 6 works of all kinds of categories can be submitted on a single application form
If you want to submit more than 6 works you must buy another application form.

What shall I submit when applying?

Applications to KP take place online. We do not accept any physical works for assessment.
Pictures: You submit works by uploading photo documentations at the application form. To ensure a proper documentation you can upload up to 4 photos each work.
Video, animation, audio and other works that cannot be documented by photos, can be saved on a USB hard drive clearly labeled the reference number and sent to Kunstnernes Påskeudstilling, so it’s received no later than FEBRUARY 26th, 2019, to the address

Files smaller than 2GB can alternatively be submitted via www.wetransfer.com to info@kp-spring.dk.
Uploading a still photo at the application form ensures a quick identification of the submitted work.

All works must be reported on the application form - including film and sound works.

Keep in mind that the Jury base the selection on this documentation only, and the material therefore must be of a quality that leaves no doubts about the character and appearance of your works.

What is not accepted?

KP does not accept works that previously have been selected for one of the following danish juried exhibitions:
KE, KS, KP, Spring Exhibition Charlottenborg, Nordkraft Exhibition (NK) or DCK on Funen.

Application fee

The application fee is 550 DKK (74 €) and covers the purchase of one application form.
Payment is to be made online at www.kp-spring.dk
Once payment is completed you will receive your receipt by email.
The receipt contains reference number and password, that you need to login at your KP-account. At this account you find the application form, where you shall upload your works for KP19.
You can re-upload and re-edit until the DEADLINE FEBRUARY 26th at 12pm (midnight).

Selection fee

Additional an selection fee of 100 DKK (13.33 €) must be calculated for each selected work.

KP – artistic quality

The Jury composes the exhibition solely upon a criterion of artistic quality. The Jury as a whole makes decisions about all of the works on an individual basis.
During the selection process the Jury will not get any further information on you than your personal reference number and only upon request the Jury will be given your name.


Technical requirements


IMAGE FILES
Format: jpeg, jpg
Size: max 2 MB each file.
Colour: RGB (for screen display. Don’t use SMYK – it’s for print)
Naming jpeg-files: Do not use æ ø å =) (/ &% € # "! § $? or other command characters (this can be a source of error uploads).
Do not use intervals, use instead _

You can upload up to 24 jpeg-files each application form. 4 jpeg-files each work.

VIDEO FILES
Format: mpeg4, avi, wmv. mov
Video will be played with VLC Media Player, Windows Media Player or Quick Time Player.
Duration: The actual duration without loop.
Example: 4 minutes and 35 seconds is written 4.35
Video longer than 5 min must be accompanied by a trailer at max. 2 min as a separate file.
Naming video-file: The video file must be named with the reference number and work number, video / trailer, duration and work title.

AUDIO FILES
Format: aac, wma, mp3
Sound must be played with VLC Media Player, Windows Media Player or iTunes.
Duration: The actual duration without loop.

Naming audio-file: The audio file is named with the reference number and work number, audio / sample, duration and work title.

How does KP use the images?

Uploaded photos and submitted videos etc. are not shown to anyone other than the Jury.
All uploaded photos will be deleted from the server after assessment and exhibition.
KP reserves the right to use photos of selected works in communications purposes.

When and how will I get information on the outcome of the assessment?

Answer is expected MONDAY, MARCH 11th. It will be sent to the e-mail address you provided when registering. Please check your spambox, if you can’t find the e-mail.

If none of my works are selected for KP19?

You do not need to do anything.
Once you have recovered the disappointment, keep in mind that all of us, without exception, have experienced to be rejected. Usually only approx. 5% of the submitted works are selected.
Material submitted on dvd or usb-memory will be returned by mail, if you have indicated it at the application form.

If some of my works are selected for KP19?

Any selected work must be delivered/submitted on time to KP, MONDAY, MARCH 25th, and it cannot be claimed back before the exhibition is over. The work should be like the uploaded documentation at the application form. Avoid putting drawings, prints or photos in frames, if it’s not indicated/visible at the application form or the uploaded documentation.

Installation and hanging up the exhibition

The Jury is responsible for composing the exhibition.
You shall not hang up your works yourself, unless the installation of your work requires your participation.
It is your responsibility to provide the necessary technical equipment if needed for your work.
You cannot ask for a specific location for your works in the exhibition, except in the case of site-specific works.
KP strives to provide the individual works as optimal conditions as possible.

Insurance

Your works are insured by KP during the period they are in Kunsthal Aarhus.
For transport insurance you are responsibly yourself.

Selection fee

No later than FRIDAY, MARCH 22nd you must pay the selection fee of 100 DKK (€ 13.50) each selected work. This amount will cover the costs associated with installation of the show.

Sales of works at KP

When selling at the exhibition, KP takes 35% commission.
Take this into account when setting prices.
Works not available for sale; you just state ‘PRIVATE / (insurance amount in DKK)‘  in the price box at the application form.
KP Prize and Audience Award are not subject to commission.

Delivery/submission and picking up/return shipping of works

Delivering
Selected works for KP19 must be delivered in Kunsthal Aarhus MONDAY, MARCH 25th between 12noon-19pm.

Picking up
After the show the works must be picked up THURSDAY, APRIL 25th between 10am-3pm.

With post or carrier
All selected works for KP19 must be submitted, so they are in Kunsthal Aarhus
MONDAY, MARCH 25th. The address is:

It is your responsibility to deliver/submit selected works on time, and you are responsible for packing and transportation as well as any transport insurance.
Be sure to indicate on the application form which mode of transport to be used.

From Copenhagen and Odense Hellerup Flytteforretning/Hvejsel is recommended.

Please specify the mode of transport at the application form (lower panel).
KP return the works for a packaging fee of 100 DKK (13.50 €) each reference number.
You must pay the transport costs and if needed insurance during transport.
The cheapest option is to buy return freightbill while submission.
Works with the same reference number are returned together.
